W2 pdf download

Gusto does not offer a service to print and mail W-2 forms to your employees. Below are several different methods on how you can distribute W-2s to your employees.

We highly recommend double-checking the information for accuracy before distributing them to your employees.

Method 1: Download and print a mail-friendly packet of all of your employees' W-2s.

1. Click the dashboard sticky Print and mail your employees their W-2s by Jan 31.
2. Click Email my W-2 packet.
   • We’ll email your packet in the next hour.
3. Check your email to download and print your employees’ W-2 forms.
   • You can print your employee's W-2 on standard, white printer paper (8.5" X 11").
4. Include all three forms (per employee) in each envelope for distribution.
5. Distribute to employees.

Method 2: Print the entire W-2 PDF bundle, and distribute them to all employees:

1. Click the Documents tab.
2. Navigate to the Company tab.
3. Click W-2: Wages and Tax Statement for the applicable year. 
   • This will be available for you in early January.
4. Download, print, and distribute the W-2s to your employees.
   • You can print your employees' W-2s on standard, white printer paper (8.5" X 11"). 

Method 3: Download individual W-2s, and distribute them to specific employees:

1. Click the People tab.
2. Click your employee's name.
3. Navigate to the Documents tab.
4. Under Employment Documents, click W-2: Wages and Tax Statement for the applicable year. 
   • This will be available for you in early January.
5. Download this form, print, and distribute the W-2 to your employee. 
   • You can print your employee's W-2 on standard, white printer paper (8.5" X 11"). 

Method 4: Enable your employees online access to their Gusto accounts so that they can obtain their W-2 forms electronically. These forms will be available to them in mid-January. Employees will also have the ability to automatically upload their W-2s into Turbotax.

• Note: Employees must consent to receiving W-2s electronically instead of a paper copy. If an employee prefers to receive the W-2 on paper, he/she has the right to request that from the company. If this is the case, refer to Methods 1, 2, or 3 for distribution.

Federal, State, and Local Copies of W-2s:

Gusto files the required federal, state and local copies of W-2 forms to the appropriate tax agencies unless you instruct us not to file these forms on your behalf. As a result, most Gusto customers do not need to order special paper stock in order to print and mail copies of W-2s to the various taxing authorities.

If you have asked Gusto to not file your annual forms and W-2s and instead you will be filing these forms on your own, you can order scannable forms from the Internal Revenue Service (IRS) here.

• You should also confirm if you meet the requirements to file W-2s and other forms electronically.
  • Federal guidelines can be found here, but electronic filing requirements can vary by agency so you'll need to confirm requirements with each state/local agency as well.
